Here’s what you need to know about being a speaker of a Matchbox virtual event. We know you probably have a few questions, and this page should help answer them!
About Matchbox-style virtual events
You’re about to participate in an event that is designed so that attendees aren’t just passively consuming content, but actively contributing to it. The technical sessions are intended to spark discussion within an attendee chat that will run simultaneously to the broadcast. After each technical session, the discussion can continue in a live Zoom session where attendees can share their video and interact with the session speakers. The collective knowledge produced by the conference will then be turned into a continued resource after the event so that the wisdom shared may be referred to and have lasting impact.
About your role as a speaker
In this context, your role as a speaker is very important to driving the whole process! Plenary and technical sessions will be recorded in advance of the live event. Whether a panel discussion or traditional series of presentations, this format is conducive to continued dialogue in the attendee chat. Speakers are able to participate in this chat as well! You’ll experience people building off your ideas, reacting to your observations, and asking you relevant follow-up questions. You can then take these questions with you to address further in your live Q&A session!
If you are a speaker in one of the live, 30-minute Info Sessions you have the opportunity to connect with attendees in a live Zoom meeting. We encourage interactive formats that engage attendees and have them come away with knowledge and excitement to join an EERI Committee or Regional Chapter!

After your recording Matchbox will edit your video from the recording, and in the editing process superimpose your slide images at high res from your ppt file to match the timing of your presentation during the zoom call. The final look will appear something like this to attendees on the virtual platform.
What is the time commitment for a technical session?
The following are estimates:
Initial planning call with TSO and other speakers/moderators (suggested but not required): 60 minutes
Recording your session: 90 minutes
Debut of your pre-recorded session: 60 minutes
Live Q&A following pre-recorded session: 30 minutes
Additional time to complete and practice your presentation
Do speakers need to register for the meeting?
Like traditional in-person EERI meetings, all speakers need to register themselves. You must be registered to gain access to the virtual meeting environment, be present for your session, and interact with other attendees.
We do not offer a speaker registration discount. If you are unable to pay the registration fee please contact your TSO.
Do I need a Powerpoint and is there a template?
Depending on your session format, you may or may not need a Powerpoint presentation. If you are unsure if you need one please coordinate with your TSO.
There is no template for your presentation but please use a widescreen (16:9) format. EERI will provide each TSO the session intro and outro slides.
Do I need a script?
The intro and outro of each technical session will be scripted. EERI will provide this to each TSO in advance of their recording session.
Matchbox does not recommend scripting your technical session content. This tends to disrupt the flow and makes your delivery less genuine. Instead of a script, they recommend having a general guide and talking points for your presentation to keep yourself on track of your topics and timing.
Who leads each session discussion?
Moderators will lead each discussion. Your moderator(s) should be someone who is also involved in organizing your session.
How are the recordings taking place?
Matchbox will pre-record all sessions using zoom.
What do I need to prepare for my recording?
Please ensure that you have a quiet room to record in with appropriate lighting. If you have a presentation, please have that prepared at the time of your recording. We will ask you to send that to us once your recording is complete, as the video producers will use this in post-production. Be sure to read our tech document attached above ahead of your pre-recording.
Why are the sessions pre-recorded?
Pre-recording allows every speaker to participate in the live chat without distraction, as well as mitigates any technical issues that might occur, such as frozen frames and fuzzy audio. Matchbox is also able to edit out any issues or mishaps (such as awkward pauses, and random background-cat rebellions). Our expert video producers will edit your session to seamlessly deliver your content with the bonus addition of branded graphics to produce a truly professional session.
Can I view my session before it airs?
TSOs will have access to the video files once they are finalized. It is up to them whether the speakers can view the sessions in advance.
